Streamlining plan management and digitizing forms with Education Modified

Volusia County Schools spans 85 public schools across Central Florida. Across the district, more than 4,000 teachers documented individualized education plan (IEP) goals, services, and accommodations manually across disparate systems. To increase efficiency and ensure accuracy, Volusia County Schools turned to  the Education Modified platform to centralize documentation.

Challenges

Paper-based documentation at scale

Volusia’s Exceptional Student Education (ESE) team documented services, goals, and accommodations for students with diverse needs through manual, paper-based systems. With teachers each following their own processes, keeping records consistent and audit-ready took extra time and effort. Volusia County Schools prioritized a digital solution to help staff stay prepared for state compliance requirements.

  • Manual, paper-based documentation
  • 4,000+ teachers with individual processes
  • Ongoing audit-readiness demands

Solutions

One platform for IEP documentation management

In 2023, Volusia’s ESE leadership chose Education Modified to replace paper forms with one system for compliance documentation. The district piloted digital tools for tracking compliance forms and IEPs with 150 users across 16 schools, then expanded districtwide. As Volusia’s program grew, the school district also added Presence providers for speech-language support.

  • Digital forms for compliance tracking
  • Real-time tracking of student IEP goals
  • One system to access all IEP documentation
  • Licensed Presence speech-language pathologists
  • Synced plan data automatically, without manual re-entry
  • Gave paraprofessionals and educators shared tools for goal tracking
  • Set up role-based permissions for secure access and sharing

Key results

IEP documentation, streamlined districtwide

General education teachers and Volusia’s ESE team now track all IEP goals, accommodations, and support services in one centralized platform. Real-time data helps staff write stronger IEPs and stay audit-ready.

THE ROAD TO SUCCESS

A rollout shaped by teacher feedback

Before piloting Education Modified, teachers attended a live platform demo and shared feedback that helped shape the program rollout. With their collaboration and dedicated support, Volusia expanded use of the platform districtwide.
